Managing the status of employees is an essential feature in WorkWeek, allowing you to keep your workforce records organised. You can archive employees who are no longer active, and later restore them if needed. Here’s how to archive and restore employees:
How to Archive an Employee:
1. Locate the Employee
- On the Employees page, ensure the Active tab is selected.
- Find the employee you want to archive by scrolling through the list or using the Search bar.
2. Click the Archive Button
- In the Actions column on the right, click the Archive icon (a small box with a downward arrow) next to the employee's record.
- This action will move the employee from the Active list to the Archived list.
3. Confirm the Archive
- The employee is now archived and will no longer appear in the Active list. Their record is retained for historical purposes but won’t be used in current payroll or operational reports.
How to Restore an Archived Employee:
1. Switch to the Archived Tab
- On the Employees page, toggle from Active to Archived at the top of the page to view the list of archived employees.
2. Locate the Employee
- Scroll through the archived list or use the Search bar to find the employee you want to restore.
3. Click the Restore Button
- In the Actions column, click the Restore icon (a circular arrow) next to the employee's record.
- This action will move the employee back to the Active list.
4. Confirm the Restore
- The employee will now appear in the Active list again, ready for inclusion in payroll processing and operational reports.
Key Points:
- Archiving Employees: Ideal for keeping your employee list current by removing inactive workers from daily operations while preserving their records.
- Restoring Employees: Easily bring back archived employees if they return to work or if you need to reference their information for reporting purposes.
- Search and Filter: Use these tools to quickly find specific employees in both Active and Archived lists.
- Cost Efficiency: Archived employees incur lower costs compared to active employees, making it a cost-effective way to manage inactive staff while maintaining essential records.
Archiving and restoring employees helps streamline employee management, ensuring your active list remains up-to-date while still maintaining access to historical employee records, all while optimising costs.
