To upload employee data onto the WorkWeek dashboard, use the Main Sheet in your Excel template. While you’re free to fill out as many fields as you’d like, certain fields are recommended to get the most value from your dashboard.
Required Fields
For a successful upload, be sure to fill in these four essential fields:
- Employee ID: A unique identifier for WorkWeek or your payroll system’s existing ID.
- First Name and Last Name: The employee’s official full name.
- Rate: The hourly or daily pay rate. This lets WorkWeek automatically calculate gross wages and total wage costs.
Optional Fields
Adding more information can provide additional insights on your dashboard. The following fields are optional, but useful:
- Clock Number: For teams who used a different clock-in system previously.
- Employment Status: Indicate if the employee is currently active or inactive.
- Contact Number: The employee’s phone number for quick reference.
- Date of Employment and Contract End Date (if applicable).
Additional Compliance Fields
For certain teams, these fields may help with compliance reporting:
- Youth Status: Specify if the employee qualifies as a youth (between the ages of 15 and 34).
- Highest Education Level: The employee’s highest completed qualification.
- Sex, Race, and Disability Status: If relevant to compliance.
- South African ID Number: If provided, this will auto-fill the Year of Birth and Date of Birth fields.
- Country of Origin Code: Use the Country Code Look Up sheet to find the correct code for non-South African employees.
Accessing Templates
During onboarding, your Customer Success Manager will send you the templates needed to fill in your employee details. Simply complete them and send them back, and we’ll handle uploading everything to your dashboard.
Once your dashboard is live, you’ll also be able to access this template directly anytime you need it. To find it, go to the Employees section, click Bulk Upload, and then select Download Excel Template. This makes it easy to add new team members later on or keep your records up to date!
