Bulk editing shifts in WorkWeek allows admins to make updates to multiple shifts simultaneously, streamlining the process of correcting or modifying time entries. This feature is especially useful for making quick adjustments, but it requires careful handling to ensure accuracy.
How to Bulk Edit Shifts:
1. Select Multiple Shifts
- On the Timesheets page, select the shifts you want to edit by clicking the checkboxes next to each relevant entry. You can select shifts across different employees, but it’s important to ensure they are for the same day to maintain data accuracy.
2. Access the Bulk Edit Form
- Once multiple shifts are selected, the Bulk Edit button becomes available at the top of the page. Click it to open the Bulk Edit form.
3. Choose Fields to Edit
- In the Bulk Edit form, select which field(s) you would like to edit from the dropdown menu. The available options include:
- Clock-In: Adjust the clock-in time for all selected shifts.
- Clock-Out: Update the clock-out time for the shifts.
- Site: Change the work site associated with the selected shifts.
- Present: Mark whether the employees were present.
- Unpaid Hours: Edit the amount of unpaid break time for the shifts.
4. Add a Comment (Optional)
- There is an option to include a comment explaining the changes. This can be useful for providing context or noting the reason for the bulk edit.
5. Save Changes
- After selecting the fields and entering any comments, click the Bulk Edit button to apply the changes to all selected shifts. The updates will reflect immediately in the Timesheets table.
Important Notes:
- Same Day Edits: When using bulk edit, ensure that all selected shifts are from the same day to prevent inaccuracies in attendance and payroll data.
- Field Selection: Only edit fields that require changes to avoid unintended modifications to other shift details.
- Comments: Adding a comment helps document why the changes were made, providing clarity for future reference.
The Bulk Edit feature in WorkWeek simplifies the process of updating multiple shifts at once, saving time for admins. However, careful selection of shifts and attention to detail is crucial to maintain data integrity and ensure accurate records.
