During the onboarding phase, our goal is to ensure that your team’s setup on the WorkWeek Dashboard is as smooth and organised as possible. Assigning employees to their designated sites is a key part of this process, laying the groundwork for accurate time tracking and easy site management right from day one.
Here’s a simple outline of what goes into assigning employees to sites during the setup process, plus a few tips for making the process even easier.
1. Preparing Employee and Site Data in Advance
- Employee and Site Templates: Before we begin, we use the Employee Bulk Upload Template and Site Template you’ve filled in to upload employees and sites to the WorkWeek dashboard. This means all employees and worksites are already in the system by the time we start assigning them.
- Pro Tip: If you’ve included each employee’s site location in the “Status” field of the Employee Bulk Upload Template, this information can save time and ensure accuracy. With this data ready, we can quickly match employees to their worksites by searching for the site name. This makes the initial setup faster and more organised.
2. Bulk Assignment and Hands-On Support During Onboarding
- Collaborative Assignment in Real Time: Once employee and site information is uploaded, we’ll work with you during the onboarding session to assign employees to their sites. This is a collaborative step, where you get to experience the process firsthand and gain a feel for how site assignments work in the dashboard.
- Hands-On Learning: By assigning employees to sites together, you’ll have the opportunity to ask questions, see the process in action, and build confidence with your dashboard settings. This hands-on experience makes future updates easier and provides you with a solid understanding of site management.
3. Why Site Assignment Matters
- Accurate Time and Attendance Tracking: By assigning employees to specific sites during onboarding, we set up your dashboard for accurate time tracking. This means you can be sure that all hours worked are logged correctly, reducing errors from day one.
- Simplified Payroll and Project Management: Site-based assignments mean that time logs are already linked to the correct locations, simplifying payroll processes and making project management much more efficient.
